Memorandum to Schools 95/2007

8 October 2007

Submission Of SIAR 3

Schools are reminded that SIAR 3 is due Monday 15October 2007.

No extension of this date is possible.

The data required for SIAR 3 are School-assessed Task scores for the following VCE Unit 3 & 4 studies:

  • Art
  • Design and Technology
  • Food and Technology
  • Media
  • Studio Arts
  • Systems Engineering
  • Visual Communication and Design

LATE CHANGES TO ENROLMENTS and ENTRY of RESULTS
Schools are reminded that requests for late changes to Unit 3 & 4 enrolments cannot be actioned until the appropriate late fee has been paid. It will not be possible to enter results for these students until the enrolment changes have been made.

1. SCHOOL-ASSESSED TASK SCORES

Schools should devise suitable internal procedures for the entering and auditing of School-assessed Task scores. These procedures should include a timeframe in which VCE teachers must submit their scores in sufficient time for checking both before and after entry into VASS.

All students must have a score entered by the due date. If a student’s score is not available, the school must enter all other task scores for that unit and send a fax to Student Records and Results informing the VCAA of the Student’s Name, Student Number, Study, Graded Assessment number and the reason why this score is unavailable. The Principal must sign the letter and advise when the result will be forwarded to the VCAA on a Score Amendment Sheet (RESULTS ADMIN → VCE Reports → Score Amendment Sheet).

Details regarding identification of tasks and maximum scores may be downloaded in VASS using the menu: SYSTEM ADMIN → Downloads. The two documents available for download are:

  • VCE Data Entry - Guidelines 2007, and
  • VCE Data entry Version 2 – All Studies 2007.

1.1 Input/Summary Report for School-assessed Tasks

The RESULTS ADMIN → VCE Reports → School Assessed Tasks/Coursework Report can be used as:

i) An Input sheet prior to the entry of the task scores,
ii) A Summary sheet after entry of the task scores, and
iii) A ‘Missing Results’ report.

The report can be produced in either Unit code or Teacher Name order.

It is most important that correct School-assessed Tasks scores are entered, as these scores cannot be changed in VASS by schools after Monday 15 October 2007 . It is essential, as part of the schools audit process, that the School Assessed Tasks/Coursework Report be produced for teachers to check after entry of the task scores and before Monday 15 October 2007.

1.2 Entry of School-assessed Task Scores

Results for School-assessed Task scores are entered in VASS using: RESULTS ADMIN → VCE Results Entry → School Assessed Tasks.

The three alternative score possibilities are:

  • a score between 1 and the maximum, a zero score or NA.
  • A zero score should only be given where the work was submitted but did not score against the assessment criteria.
  • NA should only be given where the work was not submitted for assessment or where students have left school or withdrawn from the subject after the official closing dates.

NOTE: Students who have exited after Unit 3 will be listed on the School Assessed Tasks/Coursework Report for Unit 4 with the word ‘Withdrawn’ after their name. Unit 4 r esults for these students MUST be entered through UNIT 3 of the study.

1.3 Missing School-assessed Task Scores

To ensure that all the required scores have been entered, the School Assessed Tasks/Coursework report should be run and actioned prior to Monday 15 October with the Display Missing Results Only? parameter changed to [YES]. If there are no missing scores, the message No results matched the parameters you entered. Please try again. will be displayed.

1.4 Late Amendments to School-assessed Task Scores

The Score Amendment Sheet (RESULTS ADMIN → VCE Reports → Score Amendment Sheet ) must be used to request a change for any results entered after Monday 15 October 2007 – this includes blanks. Advice on this matter should be referred to Belinda Too in the Student Records and Results Unit. Email: too.belinda.l@edumail.vic.gov.au.

Schools are advised that requests for score changes are subject to strict audit procedures and evidence for a change of score may need to be submitted to Student Records and Results Unit.
