Memorandum to Schools 58/2008

2008 CCAFL Written Examinations (Collaborative Curriculum and Assessment Framework for Languages)
Albanian, Arabic, Armenian, Bosnian, Croatian, Dutch, Filipino, Hebrew, Hindi, Hungarian, Khmer, Korean (First Language), Korean (Second Language) Macedonian, Maltese, Persian, Polish, Portuguese, Punjabi, Romanian, Russian, Serbian, Sinhala, Swedish, Tamil, Turkish, Ukrainian, Yiddish.
Your assistance is requested to provide a room/s for the conduct of CCAFL written examinations which will be held on the following date and times:
Thursday 16 October 2008(2:00pm – 5:00pm).
Albanian, Armenian, Bosnian, Croatian, Dutch, Filipino, Hebrew, Hindi, Hungarian, Khmer, Macedonian, Maltese, Persian, Polish, Portuguese, Punjabi, Romanian, Russian, Serbian, Sinhala, Swedish, Tamil, Turkish, Ukrainian and Yiddish.
Thursday 16 October 2008(2:00pm – 4:15pm).
Arabic, Korean (First Language), Korean (Second Language)
You currently have students at your school (list attached) studying one or more of the above languages either at your school or enrolled with VCE providers such as the Victorian School of Languages, single LOTE providers or the Distance Education Centre. These schools are not able to function as examination centres.
You may elect to conduct the CCAFL examinations for only your *‘home’ school students. If you choose this option, the VCAA will NOT pay for supervision if the number of students attending for each language is less than 10. (This does not apply if you are a remote country school)
It would be appreciated if you could offer a room/s for the conduct of the CCAFL examination. These rooms are required to accommodate both students for whom your school serves as the ‘*home’ school, as well as students from other schools. This will assist the VCAA in localising centres and where possible minimising travel requirements for students.
Please be aware that:
- If you are unable to provide a room/s at your school, students for whom you are the ‘home’ school will be required to complete their examination elsewhere. This will require students to travel to other schools prior to the 2:00pm commencement time and then travel home after the 4:15pm or 5:00pm finish.
- If the VCAA is unable to accommodate your students at a localised centre elsewhere, you will be required to conduct the CCAFL written examination/s for your “home” school student/s as per the signed 2008 VCE Written Examination Centre Agreement form.
- Although you may be prepared to provide a room/s and accommodate students from other schools, students in languages with low enrolment numbers will be accommodated at the most central venue.
Attached is a form which must be completed and returned to the VCAA by Friday 25 July 2008.
This form must be completed and returned even if you are unable to provide a room/s.
Once the VCAA has allocated CCAFL students to an examination centre, the ‘*host’ schools will be notified in writing of the CCAFL examination/s they will be conducting and the number of students attending. Notification will be forwarded in the week commencing Monday 8 September 2008.
Timetables
In the week beginning Monday 8 September, the 2008 Student Assessment Timetables will be available to schools for printing through VASS (Student Program→ VCE Reports→ Student Assessment Timetables). It is the responsibility of the principal to produce a timetable for each *’home’ school student.
These timetables will inform students of the centre for their CCAFL written examination.
You are also able to obtain two other written examinations summary reports from VASS:
- A report listing external examination centres your ‘home’ school students are attending.
[Student Program→ VCE Reports→ Examination Venues Not At Home]]
- Report listing students from other schools for whom you are the ‘host’ school for their CCAFL examinations.
[Student Program→ VCE Reports→ Host Examination Centre Summary (Written)]
Supervisors for CCAFL examinations
These examinations are to be conducted in accordance with the rules of all other written examinations, as outlined in the 2008 VCE Examination Manual.
You must inform your Supervisor/s that they may be required on Thursday 16 October 2008. At least one supervisor per room is required.
The VCAA will cover the cost of supervision at combined CCAFL examination centres. Supervisors’ fees do not include an allowance for setting up furniture in the examination room or centre. Principals or their delegate are responsible for ensuring appropriate arrangements are made for the setting up and conduct of these examinations, in accordance with the 2008 VCE Examination Manual.
Note: If you choose to only conduct the CCAFL examinations for your ‘home’ school students and the total number of these students is less than 10 the VCAA will NOT pay for the supervision unless you are a remote country school
Equipment
It is imperative that each CCAFL examination be held in a separate room as each language examination has a listening component which will be provided on a compact disc (CD).
A CD player/s must be provided by the school hosting the examination. This equipment must be of a suitable quality and positioned to enable all students to hear the examination clearly.
Student Identification
All students attending their examinations must be identified as they enter the examination room.
This includes students from another school attending your centre. This can be done by students presenting clear photographic ID or by a staff member from their ‘home’ school identifying their students as they enter the examination room.
Any queries regarding CCAFL written examinations should be directed to Maria Fragale 9225 2255
