Memorandum to Schools 126/2009

Schools are reminded that Enrolment 6 data is due on FRIDAY 27 NOVEMBER 2009. 

1. STUDENT ADDRESS AND PERSONAL DETAILS INFORMATION

This is the final date for amendments to student address and personal details. This is very important for Year 12 students or any students undertaking a VCE or Scored VCE VET Unit 3 and 4 study as final results will be posted to the address as recorded on VASS as at 27 November 2009.

After this date, the VCAA will not accept amendments to address and student personal details including consent for the release of information. If a students address changes after this date, they should be advised to arrange for their mail to be redirected to their new address.

2. YEAR 10 STUDENTS WITHOUT PROGRAMS

Schools are also advised to run the ‘Students Without Programs’ report for Year 10 students using the menu: STUDENT PROGRAM → Student Program Enquiries Reports → Students Without Programs.  

With the exception of Year 10 students with the course type PDO (Personal Details Only), this report identifies those students who do not have a current academic program of study.

PLEASE NOTE: Any Year 10 students with a Student Number commencing with 89 appearing on the ‘Students Without Programs’ report do so because their Course Code has been set to VCE. If these students are not undertaking a VCE, VET or VCAL program this year then their Course Code should be changed to PDO (Personal Details Only) using the menu STUDENT ADMIN→ Change Student Course Code.

This is important as VASS will allow Year 10 students with the Course Code PDO to be rolled over to VCE Year 11 in 2010.

They will NOT be rolled over into 2010 if their Course Code is VCE and they do not have an academic program of study this year.

3. STUDENT CONSENTS: AUTHORISED DISCLOSURE OF INFORMATION TO OTHER ORGANISATIONS

VASS Administrators are advised to check Year 12 students have one or more of their consent flags set to ‘No’ for Media Release, Awards Processing and On Track using: STUDENT ADMIN → Student Consents → Results Not to be Released.  When the three consent flags are set to ‘Yes’ for a student then that student does not appear on this report. 4. SETTING UP THE 2010 VASS DATABASE

Schools are now able to set up the 2010 VASS database for VCE enrolments.

Note. MA083 and MA084 Mathematical Methods 3 and 4 are no longer available. Mathematical Methods CAS Units 1 to 4 (MA111, MA112, MA113 and MA114) are available for 2010.

The 2010 VCAL and VET data will not be available to schools until late January 2010 and schools will be informed accordingly.
