Notice to School 106/2019 – 11 September
2019 Derived Examination Score (DES) applications and Emergency Special Examination Arrangements
Principals/Directors, VCE Coordinators and VASS Administrators
DES Individual applications
2019 DES Individual applications must be lodged through the VCAA’s DES Online system.
An online DES Individual application is initiated by a student’s school on VASS from the following menu:
- SPECIAL PROVISION > Derived Examination Scores (DES) > Initiate DES Application > Individual.
Once initiated, schools and students are able to complete their relevant sections of the application using the DES Online system.
Support material for school and users are available from the VASS Download menu and in the DES Online system.
Further information about eligibility, evidence requirements and applying for a DES can be found on the VCAA website.
DES Group applications
Group applications for a DES are available on request from the VCAA. If a situation arises that affects a group of students at your school, contact the Project Manager, Special Provision for advice.
Application for Emergency Special Examination Arrangements
Schools should submit an Application for Emergency Special Examination Arrangements for any student experiencing a sudden illness, accident or personal trauma immediately before or during the relevant assessment period. The application will require supporting evidence.
Schools are required to download the Application for Emergency Special Examination Arrangements from VASS available from:
- SYSTEM ADMIN – Downloads > Special Provision − Application for Emergency Special Examination Arrangements.
Principals/Directors should ensure VCE Coordinators and VASS Administrators are aware of the 2019 requirements for submitting DES and Emergency Special Examination Arrangements applications.
The VCAA must receive completed DES Individual applications no later than seven days after the student’s last examination. There are individual closing dates for oral, performance and written examinations. Students’ individual DES application closing dates are printed on their Student Examination/Assessment Timetables, which are available through VASS and in the DES Online application.
Schools should make each student’s individual timetable available to them to minimise any misunderstandings about closing dates for DES applications.
The VCAA advises schools to encourage all students to attend their examinations, except where there is specific medical evidence that advises against a student sitting an examination. Contact Special Provision to discuss possible appropriate Emergency Special Examination Arrangements for emergency situations.
If a student is ill on the day of, or during, an examination, the school should contact VCAA Special Provision staff to request and seek approval for immediate Emergency Special Examination Arrangements.
